Team Dashboards is in the Release Planning Process. The release will Start in July of 2020. Team Dashboard Widgets will include: Tasks and Notifications: Send to Self. Manager. HR. Team Member. Performance Management: Goals, Catch-ups, PDP, Tracking of Reviews. Company Policies. General Details. Dashboard views will be able to be set-up for Employee: Manager: People and Culture: HR Metrics Reporting and Recruiters. Dashboard Widgets will be able to be easily created from our new Dashboard Widget Tool. This will allow you to easily and cost effectively create your own Widgets and Dashboards. Please stay tuned: New Release information will be sent out over the coming months. This part of the Wiki will be updated as the Development/ Build Phase is completed.

It is possible to change the colours of several elements in the Subscribe-HR system. You can change the default colours of the following:

The first time you log into a Free Trial, you will be given the option to use a “Colour Picker” palette to change the colour of the main system elements. If you choose to change the colour at this stage, the colour you choose will over-ride the system defaults. If you change the colour during setup, that colour change will be applied to the following:

*Dashboard menu and navigation.

*Dashboard Widget Headings.

*Top four Dashboard Widgets.

The colour you select will also be set as the default colour in Core-HR and the Jobs Board created as part of your Free Trial.

===Free Trial Activation Wizard – Logo Settings===

The first time you log into a Free Trial, you will also be required to upload your Company Logo and a photo (which is used to create your User Account profile). The Company logo will be displayed as the default logo in the following places:

===Free Trial Activation Wizard – Activation Hub===

Once Users have completed the the Free Trial Activation Wizard, they are redirected to the [[Dashboard-Activation-Hub|Activation Hub]]. The Activation Hub is Subscribe-HR's one-of-a-kind feature that enables Users to configure and activate the main features of Subscribe-HR's Codeless Cloud HR Software. The self-activating and self-configuring nature of the Activation Hub means it can be used by you, the User, or the Subscribe-HR set-up Team to set your system up quickly.

==User Navigation Menu – Colour Settings==

If you choose not to use the colour picker during the Free Trial activation process/your first login, you can still change the system colours. To do this following this process:

#Go to your name at the top right-hand corner of the screen and click on the black dropdown arrow.

#Select “Settings” from the dropdown menu.

#Go to the “Theme” section and update the colours of the individual system elements that you want to change. <b>NOTE:</b> The User Interface of the Team Dashboards System has been designed to work best with a white (or light) background colour. For the best User experience, it is highly recommended that you keep the background for the left menu, top bar and form backgrounds white (or a very light colour) at a minimum.

#Beta – any “Beta” features in the system, including those in Team Dashboards, will be identified with the label “Beta” in red.

#Pinned Dashboard – the default Dashboard you see when you log into the system is “Advanced Reporting & Metrics.” If you have changed the default by “Pinning” a different Dashboard as the default view, this Pinned Dashboard will be identified with a green label in the Dashboards menu.

#Green defaults – any features that are green or red within the system (some buttons and fields) to highlight them for specific purposes will remain as the default colours and cannot be changed.

#<b>Community</b> - For the whole business. An all in one central Engagement Dashboard: Celebrations, Who's Out, Company Links, Acknowledgements and Announcements, What's Happening, Welcome etc.

#<b>Recruitment</b> - For Recruiters who need to manage the Recruitment Process.

#<b>Onboarding</b> - For Onboarding New People.

#<b>My Info</b> - Personal Information for Employees with Self-Service access.

#<b>Manager</b> - Team Information for Managers based on their Team. Managers will have this Tab + My Info Tab.

===Team Dashboards - Dashboard Options (Including 'Create New')===

The following options are available for Dashboards:

*<b>PDF</b> - Users can save the Dashboard as a .pdf.

*<b>Pin/Unpin Dashboard</b> - Users can 'Pin' their preferred Dashboard (it will be the one the System defaults to), and 'Unpin' if/when their preference changes. Unless another Dashboard is 'Pinned' as a preference, the System defaults to the Standard Reports Dashboard.

*<b>Create New Dashboard</b> - Users can create a New Dashboard, give it a custom name, and then add Widgets to it based on preference. Not available in Community Dashboard.

*<b>Update Dashboard</b> - Users can change the name and/or delete any New Dashboards they've added.

Standard Dashboards can be reconfigured in the following ways:

The Dictionary definition is: It is a depiction of a sequence of operations, declared as work of a person, a group of persons, an organisation of staff, or one or more simple or complex mechanisms.

&#9;1. The 4 small Stat Widgets at the top of the Dashboard (if present) can be moved around (simply drag and drop to reorder) and ordered to suit your preference (they can't be deleted or replaced).

Workflows are triggered by meeting a condition, or reaching a step defined in the workflow process.

&#9;2. The large Standard Widgets can be moved/reordered or deleted/replaced with other Widgets.

To move/reorder Widgets, simply click on the Widget you want to move then drag it into a new position and then release it.

To add, delete and replace large Widgets, follow these steps:

By looking at the SubTabs in the Workflow Tasks it can be said to be broken down into:<br>

&#9;1. To delete a Widget, click on the 'X' on the top left of the widget - this will remove it from the Dashboard.

&#9;2. In its place, a 'Plus' sign (+) will appear in the middle of the space/empty container left after the removal of the Widget.
<b>Reminder</b> - What do I do when I start.<br>

<b>Updates</b> - Do I need to update any fields in the system after I have started.

&#9;3. Click on the 'Plus' sign and a 'Choose Widget' Wizard will open:

*Select a Widget from the dropdown menu.
 +
*Specify if you want the Widget to be full or half-width.
 +
*Click 'Confirm.'
 +
&#9;4. The Widget selected will then appear in the empty container left by the removal of the previous Widget.
  
===Defining Workflows for Objects===

<b>NOTES:</b> Dashboards only hold a total of 14 large Widgets on My Info & Manager Dashboards, and 14 on People & Culture Dashboards. If all Widget containers are full, it is not possible to add more Widgets and you will instead need to create a new Dashboard. If there are vacant Widget containers (because that Dashboard is not yet full) you will see an empty Widget container at the bottom of the Dashboard with a 'Plus' sign in it. If there are no empty Widget containers at the bottom of a Dashboard that means one of two things:
We first of all need to select the Object we wish to create the workflow for. Our choice of the object will be based on the information we are collecting.

*All the Widget containers are full.

*There are no more Widgets for that Dashboard type available.

There is a setting on the 'Customer System Details' Widget on the [[Dashboard-Activation-Hub#Free_Trial.2FCustomer_System_Details|Activation Hub]] that allows System Administrators to turn off/on the ability for Users to remove and insert Dashboard Widgets.
  
===Creating a Workflow for an Object===

Dashboards can only hold Widgets that are relative to the Dashboard type (for example, you can't add an 'Onboarding' Widget to the Recruitment Dashboard, and you can't add the Performance Management Widget to the Onboarding Dashboard). If you try to add the wrong type of Widget to the wrong type of Dashboard, it will not work.
# After logging into the Subscribe-HR portal, select the <b>Development</b> TAB

Widgets are displayed in three ways:
<b>Yes</b> or <b>No</b> to whether the Workflow is turned on (Active) or not.

*Minimised - in which you only see the Widget heading/s. Click the ' + ' (plus sign) on the far right of the Widget heading to expand it to the Standard size.

*Standard - in which the Widget fills one of the Widget containers on a Dashboard (full or half width). Click the 'small square (with rounded corners)' on the far right of the Widget heading to expand it to the Maximum/Maximised size.

*Maximised - in which a new browser tab is created and on which the Widget is maximised so that the User can see more information (more rows in the Widget tables etc) and work in a single Widget at a time.

Workflow types define when an action should be triggered.

We could setup an Employee Birthdate workflow with the conditions of where the Employee birthday is less than 3 days. When the condition of 3 days before the Employee Birthday is met an action is triggered.</i>

When an employees address details are updated or a new record inserted, a notification can be automated.</i>

===Workflow Mode===

Widgets on the Activation Hub can only be maximised (not minimised) and display a maximum of 10 menu items only. If there are more than 10 menu items in a Widget, 'More Available....' will be displayed on the top right of the Widget, next to the 'small square (with rounded corners). To view the full list of menu items, click the small square to maximise the Widget and this will display all menu items.
Select the Mode for the Workflow:

* <b>Standard</b> - This should be used for most Workflows created where the conditions inside the workflow are adequate.<br>It will use the Standard Condition outlined in [[Creating-workflow-tasks-in-Subscribe-HR#Condition_TAB|Condition TAB]].

* <b>Custom Condition</b> - This is available as some areas of the system have pre-programmed custom conditions that cannot be otherwise defined by the Standard Workflow Mode, if selecting the custom condition you loose the ability to define your own conditions.

The Inbox is your personal mailbox, where you will receive notifications, reminders and requests as a result of workflows being carried out.
Task Types define what the workflow type is when it is triggered.
+
The Task types are:
+
* <b>Reminder</b> - Send the recipient a reminder that a certain task or action is required within the system.
+
* <b>Request</b> - Send the recipient a request to be completed before the workflow can continue. Workflow Forms can be attached to requests.
+
* <b>Checklist</b> - Send the recipient a checklist of action and tasks that they are required to complete.
+
  
===External Approvals===

The Inbox is accessible via the envelope icon, which is next to your User Name menu in the top right-hand corner of the System. The number in the green oval indicates the the number of pending/outstanding Tasks/Notifications. This will display the most recent notification as well as the 'See All Alerts' option. To view all notifications and and reminders, click on the envelope icon and then click on 'See All Alerts.'
<b>Yes</b> or <b>No</b> to Enables the recipient of the workflow to make an action on the workflow without having to log into the Subscribe-HR portal.

===Anniversary Date===

The Inbox allows "Team Dashboards" Users to receive, send and interact with "Quick Tasks" as well as Tasks, Notifications and Reminders related to automatically triggered workflows. "Quick Tasks" can also be sent from the [[New-Quick-Task|Quick Tasks Wizard]], or from the Tasks and Notifications Widget. If an Employee has Delegated their Tasks and Notifications to someone else, those Tasks and Notifications will appear in this Widget.
The Anniversary Date option in the "General" Tab allows you to set reminders based on a Anniversary Date.<br>

<i><b>Example:</b> Birthday, Start Date. Based on setting this, Subscribe-HR will send a notification every 12 Months from this original date.</i>

===Condition TAB===

Because the number of notifications can be quite high (especially for Managers and System Administrators/People & Culture Users), notifications emails (that go to the User's personal email inbox) have to be manually activated via System settings. However, all notifications (for Tasks and Reminders) will appear in the online/System "Inbox" for each User. This Inbox can be accessed via the envelope in the top right-hand corner of the System, next to the User's name and photo. Alternatively, Users can choose to activate a "Summary" email to their email Inbox (see below for instructions).
# Select the <b>Conditions</b> SubTAB.

# From the first drop down select the field that you want to trigger the workflow on.

# Select the condition that applies to the selected field.<br>If the selected field is a date field then the operator would be <b>Is Less Than</b> or <b>Was More Than</b>, If the selected field is a Yes / No field then the operator would be <b>Equals To</b>.

# Select the value from the drop down, The value changes depending on the field chosen, If the field chosen is a date field the value would contain date / time periods such as 1 hour, 1 day, 1 week. If the field chosen is a Yes / No field then the value is more likely to be Yes or No.

# Additional conditions can be added by selecting the <b>Add condition</b> link.

# Select the [Save] button.

===Workflow Conditions Explained===
+
All Tasks, Notifications and Reminders that are sent to the actual email inbox of Employees will contain a link that says: 'Please Click Here to login and view this notification.' The text 'Click Here' contains a hyperlink that will take the User directly to this notification in their System Inbox. It will also open the relevant/associated task for review/action, or simply display the relevant/associated message.
A Workflow needs to know when to start (when to be triggered) and that's what the conditions are for. Every condition that is added uses an AND statement meaning each condition must be met or the workflow is not triggered.

<b>NOTES:</b> Tasks & Notifications will appear in the Inbox in the following manner:
A considerable amount of flexibility exists in the Subscribe-HR system. You may notice the available fields in the conditions are not all from the same object. In fact the Subscribe-HR system allows you to select fields from the parent object as well as the child object.<br>

*My Info Users - Users see Tasks & Notifications that relate to them as an Employee only.
<i><b>Example:</b> Say you were creating a Workflow for <b>Employee Property</b>. The parent object is <b>Employee</b> and the child is <b>Employee Property</b> this means you have access to all fields in the Employee Object and the Employee Property Object. A further example could be Jobs and Job Benefits.</i><br>

*Managers - Users see Tasks & Notifications that relate to their role as a Manager. Therefore only Tasks & Notifications for actions the Manager needs to take in relation to their Team Members appear in the Widget on this Dashboard.

*<b>HR Managers/People & Culture Users</b> - will receive a summary of their own Tasks & Notifications (as displayed in their Inbox), as well as those in the Inboxes of Managers and Employees (that is, they will receive a Summary of everyone's Tasks & Notifications as at that date/time).
To add a condition select a field from the drop down. You may notice that the drop down contains the field name and in brackets (the object name).<br>

=Reminder TAB=

The easiest indication that you have unread emails in your Inbox is to look for a number next to the Inbox (envelope icon).

# Select the <b>Reminder</b> SubTAB.
 
# In the <b>Due Date Field</b> drop down select the date field that will define due date for the task or reminder. <b>NOTE: Setting this field will generate a calendar reminder. The reminder will be attached to the e-mail that gets sent out by S-HR. The user can click on the file (called an ICS file). Doing so will create a calendar entry for the reminder. </b><br>
 
<i><b>Example:</b> If we select Start date (Employee) then a reminder is sent on the Employee's Start Date. Training Reminder: When a training booking is done. Team Dashboards Widgets and Wizards


Dashboards, Widget, and Wizards Colours - Themes

It is possible to change the colours of several elements in the Subscribe-HR system. You can change the default colours of the following:

  • Dashboard menu and navigation.
  • Dashboard Widget headings.
  • Two of the four small 'Stat' Dashboard Widgets (which appear at the top of all Dashboards except Standard Reporting and Advanced Reporting & Metrics).
  • Wizard START button.
  • Wizard menu icons.


Free Trial Activation Wizard

Free Trial Activation Wizard – Colour Settings

The first time you log into a Free Trial, you will be given the option to use a “Colour Picker” palette to change the colour of the main system elements. If you choose to change the colour at this stage, the colour you choose will over-ride the system defaults. If you change the colour during setup, that colour change will be applied to the following:

  • Dashboard menu and navigation.
  • Dashboard Widget Headings.
  • Top four Dashboard Widgets.
  • Wizard START button.
  • Wizard Menu icons.

The colour you select will also be set as the default colour in Core-HR and the Jobs Board created as part of your Free Trial.

If you choose to change the colour during this process, and you decide (upon seeing this colour applied to the system) that you don’t like it, you can go back and “Reset” to the default.


Free Trial Activation Wizard – Logo Settings

The first time you log into a Free Trial, you will also be required to upload your Company Logo and a photo (which is used to create your User Account profile). The Company logo will be displayed as the default logo in the following places:

  • Throughout the Free Trial System, including the Jobs Board and Recruitment careers page.
  • Email header/footer.


Free Trial Activation Wizard – Activation Hub

Once Users have completed the the Free Trial Activation Wizard, they are redirected to the Activation Hub. The Activation Hub is Subscribe-HR's one-of-a-kind feature that enables Users to configure and activate the main features of Subscribe-HR's Codeless Cloud HR Software. The self-activating and self-configuring nature of the Activation Hub means it can be used by you, the User, or the Subscribe-HR set-up Team to set your system up quickly.


User Navigation Menu – Colour Settings

If you choose not to use the colour picker during the Free Trial activation process/your first login, you can still change the system colours. To do this following this process:

  1. Go to your name at the top right-hand corner of the screen and click on the black dropdown arrow.
  2. Select “Settings” from the dropdown menu.
  3. Go to the “Theme” section and update the colours of the individual system elements that you want to change. NOTE: The User Interface of the Team Dashboards System has been designed to work best with a white (or light) background colour. For the best User experience, it is highly recommended that you keep the background for the left menu, top bar and form backgrounds white (or a very light colour) at a minimum.
  4. Click on the green “Save” button (at the top right-hand side of the screen) to save your settings.
  5. To navigate back to the main Dashboards page (Advanced Metrics & Reports), click on “Home,” which is located towards to top left-hand side of the screen (under your photo and name).

Changing the default colour settings will not affect the following:

  1. Beta – any “Beta” features in the system, including those in Team Dashboards, will be identified with the label “Beta” in red.
  2. Pinned Dashboard – the default Dashboard you see when you log into the system is “Advanced Reporting & Metrics.” If you have changed the default by “Pinning” a different Dashboard as the default view, this Pinned Dashboard will be identified with a green label in the Dashboards menu.
  3. Green defaults – any features that are green or red within the system (some buttons and fields) to highlight them for specific purposes will remain as the default colours and cannot be changed.


Team Dashboard Standard Types

The Dashboard types available in Subscribe-HR Team Dashboards include:

  1. Community - For the whole business. An all in one central Engagement Dashboard: Celebrations, Who's Out, Company Links, Acknowledgements and Announcements, What's Happening, Welcome etc.
  2. Recruitment - For Recruiters who need to manage the Recruitment Process.
  3. Onboarding - For Onboarding New People.
  4. My Info - Personal Information for Employees with Self-Service access.
  5. Manager - Team Information for Managers based on their Team. Managers will have this Tab + My Info Tab.
  6. People and Culture - HR Manager and HR Team can use this Tab to Manage the organisation. People and Culture will have this Tab + Manager Tab + My Info Tab.
  7. Standard Reports - Contains Standard Reports + HR Metrics based information.
  8. Advanced Reports & Metrics - Contains Standard Reports + HR Metrics based information.
  9. System Info - Contains system usage and system configuration including billing information.
  10. Activation Hub - fast, efficient START to set yourself up in the Subscribe-HR system - coming soon.
  11. Apps - fast, efficient configuration of self-installing Apps in the Subscribe-HR system - coming soon.

Please note that you can create any type of Widget that is needed. This can be done using the Widget Builder which is located in the Developer Solution. You can set up Widget permissions in Groups / Permissions.

There is a restriction of 14 large (half or full-width) Widgets and 4 small 'Stat' Widgets for My Info and Manager Dashboards. For People & Culture Users the restriction is 14 large (half or full-width) Widgets and 4 small 'Stat' Widgets. If the number of Widgets you want to display don't all fit on one Dashboard, you can add/create an extra Dashboard as required (see below). Extra Dashboards only hold large Widgets (not the small Stat Widgets) per the numbers previously mentioned for different Dashboard types.

The standard Dashboard Widgets types that are available for display across these Dashboards are:

  • Community.
  • Recruitment.
  • Onboarding.
  • Core-HR.
  • Performance.
  • System Summary.
  • Activation Hub.
  • Apps.

Widget types can only be added to the associated/corresponding Dashboard. For Example, Recruitment Widgets can only be added to the Recruitment Dashboard (and will not appear/can't be added to the Onboarding Dashboard for example).


Team Dashboards - Configuration

Team Dashboards - Dashboard Options (Including 'Create New')

The following options are available for Dashboards:

  • PDF - Users can save the Dashboard as a .pdf.
  • Pin/Unpin Dashboard - Users can 'Pin' their preferred Dashboard (it will be the one the System defaults to), and 'Unpin' if/when their preference changes. Unless another Dashboard is 'Pinned' as a preference, the System defaults to the Standard Reports Dashboard.
  • Create New Dashboard - Users can create a New Dashboard, give it a custom name, and then add Widgets to it based on preference. Not available in Community Dashboard.
  • Update Dashboard - Users can change the name and/or delete any New Dashboards they've added.
    • To Update/Delete the Dashboard name, open/click on the Dashboard, Then click on the ' + ' next to the Dashboard menu and elect 'Update this Dashboard.'
      • To update the Dashboard name, change the name and click 'Update.'
      • To Delete the Dashboard, click 'Delete.'
  • Reset Dashboard - Users can Reset their Dashboard/s.
    • Resetting a Standard/included Dashboard will reset the Widgets and Widget order to the Standard configuration.
    • Resetting a New Dashboard will remove all Widgets and restore it to a blank Dashboard.

Users can add a New/Extra Dashboard to hold extra Widgets, or to customise and order which Widgets are displayed on which Dashboards. The 'New' Dashboard created will be of the same type as the Dashboard type you are on when you '+Create New Dashboard.' New Dashboards and the Widget/s available to place on those Dashboards depend on the permission/User Group of the User.

Users can create the following types of 'New' Dashboards (depending on Permissions):

  • Recruitment.
  • Onboarding/Offboarding.
  • My Info.
  • Manager.
  • People & Culture.
  • Standard Reports.
  • Advanced Metrics & Reports.

Team Dashboards - Adding and Removing Widgets

Standard Dashboards can be reconfigured in the following ways:
1. The 4 small Stat Widgets at the top of the Dashboard (if present) can be moved around (simply drag and drop to reorder) and ordered to suit your preference (they can't be deleted or replaced).
2. The large Standard Widgets can be moved/reordered or deleted/replaced with other Widgets.

To move/reorder Widgets, simply click on the Widget you want to move then drag it into a new position and then release it.

To add, delete and replace large Widgets, follow these steps:
1. To delete a Widget, click on the 'X' on the top left of the widget - this will remove it from the Dashboard.
2. In its place, a 'Plus' sign (+) will appear in the middle of the space/empty container left after the removal of the Widget.
3. Click on the 'Plus' sign and a 'Choose Widget' Wizard will open:

  • Select a Widget from the dropdown menu.
  • Specify if you want the Widget to be full or half-width.
  • Click 'Confirm.'

4. The Widget selected will then appear in the empty container left by the removal of the previous Widget.

NOTES: Dashboards only hold a total of 14 large Widgets on My Info & Manager Dashboards, and 14 on People & Culture Dashboards. If all Widget containers are full, it is not possible to add more Widgets and you will instead need to create a new Dashboard. If there are vacant Widget containers (because that Dashboard is not yet full) you will see an empty Widget container at the bottom of the Dashboard with a 'Plus' sign in it. If there are no empty Widget containers at the bottom of a Dashboard that means one of two things:

  • All the Widget containers are full.
  • There are no more Widgets for that Dashboard type available.

There is a setting on the 'Customer System Details' Widget on the Activation Hub that allows System Administrators to turn off/on the ability for Users to remove and insert Dashboard Widgets.

Dashboards can only hold Widgets that are relative to the Dashboard type (for example, you can't add an 'Onboarding' Widget to the Recruitment Dashboard, and you can't add the Performance Management Widget to the Onboarding Dashboard). If you try to add the wrong type of Widget to the wrong type of Dashboard, it will not work.


Team Dashboards - Widget Display: Standard, Minimised, Maximised

Widgets are displayed in three ways:

  • Minimised - in which you only see the Widget heading/s. Click the ' + ' (plus sign) on the far right of the Widget heading to expand it to the Standard size.
  • Standard - in which the Widget fills one of the Widget containers on a Dashboard (full or half width). Click the 'small square (with rounded corners)' on the far right of the Widget heading to expand it to the Maximum/Maximised size.
  • Maximised - in which a new browser tab is created and on which the Widget is maximised so that the User can see more information (more rows in the Widget tables etc) and work in a single Widget at a time.

Only Widgets on the following Dashboards can be minimised/maximised:

  • Community.
  • Recruitment.
  • On/Cross/Offboarding.
  • My Info.
  • Manager.
  • People & Culture.
  • System Summary.

NOTE: all Widgets on the above Dashboards default to 'Minimised' as Standard so that all Widgets on the Dashboard can be displayed easily. To open the Widget/s to Standard or Maximised sizes, follow the instructions above. To reset a Dashboard to the default/Standard (with all Widgets minimised), click ' + ' (the plus sign) next to the Dashboards menu and select 'Reset Dashboard.' There is a setting on the 'Customer System Details' Widget on the Activation Hub that allows System Administrators to turn off/on the ability for Users to remove and insert Dashboard Widgets.

This features is not available for the following Dashboards - where all Widgets are displayed as Standard:

  • Standard Reports.
  • Advanced Reports & Metrics.

Widgets on the Activation Hub can only be maximised (not minimised) and display a maximum of 10 menu items only. If there are more than 10 menu items in a Widget, 'More Available....' will be displayed on the top right of the Widget, next to the 'small square (with rounded corners). To view the full list of menu items, click the small square to maximise the Widget and this will display all menu items.


The Standard Team Dashboards Inbox

The Inbox is your personal mailbox, where you will receive notifications, reminders and requests as a result of workflows being carried out.

The Inbox is accessible via the envelope icon, which is next to your User Name menu in the top right-hand corner of the System. The number in the green oval indicates the the number of pending/outstanding Tasks/Notifications. This will display the most recent notification as well as the 'See All Alerts' option. To view all notifications and and reminders, click on the envelope icon and then click on 'See All Alerts.'

The Inbox allows "Team Dashboards" Users to receive, send and interact with "Quick Tasks" as well as Tasks, Notifications and Reminders related to automatically triggered workflows. "Quick Tasks" can also be sent from the Quick Tasks Wizard, or from the Tasks and Notifications Widget. If an Employee has Delegated their Tasks and Notifications to someone else, those Tasks and Notifications will appear in this Widget.

Because the number of notifications can be quite high (especially for Managers and System Administrators/People & Culture Users), notifications emails (that go to the User's personal email inbox) have to be manually activated via System settings. However, all notifications (for Tasks and Reminders) will appear in the online/System "Inbox" for each User. This Inbox can be accessed via the envelope in the top right-hand corner of the System, next to the User's name and photo. Alternatively, Users can choose to activate a "Summary" email to their email Inbox (see below for instructions).

All Tasks, Notifications and Reminders that are sent to the actual email inbox of Employees will contain a link that says: 'Please Click Here to login and view this notification.' The text 'Click Here' contains a hyperlink that will take the User directly to this notification in their System Inbox. It will also open the relevant/associated task for review/action, or simply display the relevant/associated message.

NOTES: Tasks & Notifications will appear in the Inbox in the following manner:

  • My Info Users - Users see Tasks & Notifications that relate to them as an Employee only.
  • Managers - Users see Tasks & Notifications that relate to their role as a Manager. Therefore only Tasks & Notifications for actions the Manager needs to take in relation to their Team Members appear in the Widget on this Dashboard.
  • HR Managers/People & Culture Users - will receive a summary of their own Tasks & Notifications (as displayed in their Inbox), as well as those in the Inboxes of Managers and Employees (that is, they will receive a Summary of everyone's Tasks & Notifications as at that date/time).

The easiest indication that you have unread emails in your Inbox is to look for a number next to the Inbox (envelope icon).


Team Dashboards Search

Team Dashboards Users can use the Search field (located in the top right-hand corner of the System interface, next to the Inbox mail icon) to search the entire System for Employees and Applicants. For all other search types, Users should go the relevant Widget for that data type and use the Search option for that Widget.


Team Dashboards Inbox & Inbox Tabs

There are multiple Tabs in the Inbox, which filter Tasks & Notifications in a logical order. These Tabs are explained below.

Field Name Description
Manage Delegation Employees can delegate authority to someone else in their absence. Delegations work as follows:
  • Employees - can delegate authority to/for their Manager to receive and review standard and task related notifications.
  • Managers - can delegate authority to their Manager, other Managers or People & Culture Users to receive and review standard and task related notifications. They Can also delegate Authority on behalf of their direct reports, so that the person to whom delegation is assigned can receive and review standard and task related notifications.
  • People & Culture Users - can delegate authority to their Manager or People & Culture Users to receive and review standard and task related notifications. They Can also delegate Authority on behalf of their direct reports, so that the person to whom delegation is assigned can receive and review standard and task related notifications (per the above).
NOTE:The 'delegate' feature does not provide the capacity for Employees to whom 'delegation' has been assigned to 'Authorise' on behalf of the Employee who assigned delegation to them. The delegation features relate to general and task specific notifications only.
Notifications This functionality allows the User to trigger a "Summary" email re Tasks and Notifications relevant to them/their User Group. To enable a notification summary email:
  1. Click on "Notifications" (top right-hand corner of the Widget).

The standard setting in the System is for all Users to receive an Email Summary Daily at 8:00am. This can be changed using the options below. The settings options for Tasks & Notifications Emails are:

  • Notification Type:
    • Send Tasks & Notifications in real-time (send when triggered) - selecting this option will send an individual email for each Task & Notification to the User's Inbox in Subscribe-HR and also to their Company email/Inbox in real-time.
    • Send an Email Summary - selecting this option (and subsequent settings below) will send an individual email for each Task & Notification to the User's Inbox in Subscribe-HR, but will only send a 'Summary' email to their Company email/Inbox based on the settings then selected below.
  • Notification Frequency - Daily or Once a Week [This option will only appear if 'Send an Email Summary' is selected above]. The User needs to specify if they want to receive a Summary email daily or weekly.
  • Notification Start Day and Time - the User needs to specify the start day and time for the Email Summary/ies. The User will then continue to receive a Summary email at the same time, (per the settings selected (daily or weekly)) unless/until the settings are changed. [This option will only appear if 'Send an Email Summary' is selected above].
  1. Click "Activate" to activate these settings.
  2. To change or deactivate the summary email, click on "Notifications" to reopen the Wizard.
  • For changes, simply change the notification frequency, notification start day or time settings, then click "Update."
  • To disable the current settings, simply click "Disable." This will return the delivery of Tasks & Notifications to the Default - which is a Daily Summary at 8:00am.

Depending on the Employee's User Group/Permissions (Employee, Manager, HR/People & Culture Manager), the User will receive the following information in their Summary Email:

  • Employees - will receive a summary of only their own Tasks & Notifications (as displayed in their Inbox).
  • Managers - will receive a summary of their own Tasks & Notifications (as displayed in their Inbox), as well as those in the Inboxes of the Employees in their team.
  • People & Culture Users - will receive a summary of their own Tasks & Notifications (as displayed in their Inbox), as well as those in the Inboxes of all Employees/Users.
+ Quick Task Select this to create a new task. The new task widget will pop up allowing you to enter the task name, assign employees, apply filters, enter in a due date/time and/or attach documents.
Search This is a text field which you can use to enter keywords to search for. The list below will display tasks and notification relating to the keywords entered.
Today This Tab displays current Tasks & Notifications (due today - that is the date that the User/Employee is logged into the System). Once completed, Tasks (and their associated notifications) move to the 'Completed' Tab.
Upcoming This Tab displays Tasks & Notifications due on any day/date after 'today' (see above). Once completed, Tasks (and their associated notifications) move to the 'Completed' Tab.
General This Tab displays a list of all Notifications that are triggered/sent by the System.

NOTE: There are two types of 'Notifications' sent by the System:

  • Notifications that are 'Read' or 'View' only (and don't require any actions to be taken).
  • Notifications that are associated with an 'Action' required by the Recipient (which will contact a 'Click Here' link relating to the 'Action' required).

The 'General' Tab displays both of these types of Notifications. If/when a Notification relates to an 'Action' and that action is 'Completed,' then the notification will move to the 'Completed' Tab. If the 'Action' is not taken, then it will move to the 'Overdue' Tab. However, general View/Read only Notifications will remain under the 'General' Tab permanently.

Overdue This Tab displays all Tasks & Notifications that are past their due date.
Completed This Tab displays all Tasks that have been completed.
My Sent Tasks This Tab displays tasks that the User has sent (either to themselves or someone else).
Workflow History Displays a list containing the history of all actions, tasks and notifications (including a record of Authorisations, Cancellations and Rejections where relevant). The Workflow History includes actions, tasks and notifications currently in progress and those completed in the past. Each line item/record has a status. The action/task is either pending or completed. The history is arranged based the following icons:
  • Notepad & Pencil - displays tasks/actions pending or completed (completed tasks/actions are date and time stamped and the action taken is recorded).
  • Calendar - displays reminders that are sent to Employees about tasks/actions that need to be completed.
  • Information ( 'i' ) - relates to authorisations taken by other Employees (not related to the logged in User).
  • Show Related Tasks - appears when there are/have been a series of tasks/actions in a multi-step workflow process,, including actions/tasks not related to the logged ion User.
Filter You can select filters to apply so that specific tasks and notifications will be displayed. You can filter the list by Solution (HR, Recruitment, Onboarding etc.) and/or delegated tasks.
Task Name The subject of the task will appear under here.
Assigned To The Employee the task or reminder was assigned to will appear here.
Relates To The Employee the task or reminder relates to will appear here.
Due Date Task due date will appear here. This determines if the task should appear in the today, upcoming or overdue section.
Filter (Column) Filters selected against the task will appear under here.
Actions Different Tasks and Notifications have different actions associated with them. The options are:
  • View Message: Allows the User to view the notification/reminder message.
  • Authorise/Reject/Forward: Allows the User to Authorise, Reject or Forward the Authorisation request. Note: when an Authorisation is forwarded, it is assumed that the individual is Authorising the request and forwarding it to other Employees for further Authorisation. The request is not considered complete/fully Authorised until the final individual clicks the 'Authorise' button.
