Setting up Courses

Setting up and utilising Courses allow you to use Waiting Lists, to identify people who need training for that Course.

Adding Courses

  1. After logging into the Subscribe-HR HCM Platform, select Human Resources on the left hand side from the navigation area.
  2. Select Courses.
  3. You will see a list of Courses, if this if this list is empty then no Courses have been setup at this point in time.
  4. Select the Create New button on left.
  5. Enter the "Course Name".
  6. Enter the "Course Type"
  7. Enter a Maximum Desired Number of Attendees.
  8. Enter a Minimum Number of Desired Attendees.
  9. Enter the Cost Per Attendee. This will be used to Auto Calculate the Event cost based on the number of Attendees.
  10. Select "Generate Certificate and Licence" if you want to automatically create a "Certificate and Licence" record for the Employee, following the completion of the Course / Event.
  11. Enter the Optimum Number of Desired Attendees. An E-mail alter will be sent to the HR User when a "Course" has hit the "Optimum Desired" number of Attendees so that the "Course can be turned into and Event.
  12. On the "Wait List" Tab, you can search for Employees and to see if they don't have a Training Record which matches the Course. You can Search for an Employee that does not have a Training Record that Matches their current Job Training Guide. You can also Search from any employee and add them to the "Waiting List". People will also appear on the "Waiting List" if they have been added to it from the "New Employee Wizard".
  13. Assign a Training Provider for the Course. If one does not exist, you can add one under the Provider Folder. If the Course is Internal, the Provider details will be based on Internal Provider Details.
  14. Once you Add an Employee to the "Waiting List", a Training Record will be created in their Training Sub Folder. The Status of the record will have: Training Record Name. Course Name and the Status of the Course, e.g. Waiting List, Attendees, Did no Attended, Completed. If the Course is turned into an Event, the Training Record will then have a "Start Date" and " Finish Date" assigned to it. If the event is rescheduled from the "Event" Sub Folder, the Status of the Training Record - Course will be Attendee - Rescheduled Course, prior to it being completed.
  15. You can choose to generate a Certificate or Licence Record from the Training Course.
  16. The "Waiting List" will record where the person came from to end up on the Waiting list e,g. New Employee, Job Change, PDP, Manually Added
  17. The "Events" Tab Shows the Events that have been Scheduled for that Course. You can select the "Event" and open up the record.
  18. If you want to "Create" and "Event" from the "Course", Click the "Create Event" option. This will open up the NEW "Event" record, and copy all of the relevant details including the "Waiting List" to the Event.
