Recruitment Dashboard Option

This User Tab Contains Widgets:

  1. 4 Small Information Display Widgets
  2. Vacancy Management for Applicants
  3. Request to Hire and Employee Authorisation
  4. Tasks and Notifications

These widgets can be moved around in the Dashboard. They can also be removed from the Dashboard. This can be done in Maintenance --> Groups --> Permissions --> Select a Group and Go to the Widgets Widgets.

Vacancy Management

This widget allows for Hiring Managers and HR User to process applicants based on Active Vacancies. New Vacancies can also be created from "New Vacancy" option on the top right of the widget. The "New Vacancy" option is also available in "START" Wizards.

Field Name Description
Check Box Select the Applicant/s you want to Move or assign Actions too.
Flags These can be used by you to tag people based on your meaning for that colour. E.g. Red might mean that the person is not going to be progressed but you have not rejected them using "Action" or "Move To"
Action Allows you to Create Employee (New Employee Wizard, Onboarding, Copy Information to Core-HR, Send General E-mail (Send E-mail to Applicant), Mark as Unsuccessful, Forward (Send Applicant Information to Manager), Interview (Schedule an Interview) Etc
Move To Select the Applicant/s (Check Box), and then move to relevant stage of the Recruitment Workflow. Note if you "Move To" Face to Face Interview, you will be prompted to set-up a Interview. If you "Move To" "Employee Authorisation" there will be an option to send an "Employee Authorisation" to a Manager.
Applicant Name Click on the Applicant Name to see a Summary (in a pup-up box) or the Applicants information. Including Number of Applications, Social Media, CV, Cover Letter, Applicant Questions which have been tagged in the Applicant Questionnaire which was used for the Vacancy, Notes.
CV Click on the "CV" and it will open up. If the CV was attached in Word, it will open in PDF - for faster Loading. Click on "Cover Letter" and any transcript if these has been asked for.
Employee Authorisation This is a step that can be assigned to the Recruitment Workflow. If this Workflow step is used, and the Applicant is moved to this step, the system will show an "Employee Authorsation" option. Click this to select a Manager to send the Authorisation too. You can type in notes to be sent with the Authorisation. Once sent, the option with show "Authorisation Pending. If Authorisaed it will show "Employee Authorised". If rejected it will show "Authorisation Rejected". This information will also be available in the "Request to Hire and Employee Authorisation" Widget.
Progress This Button can be used to "Progress" the applicant to the next Step of the Workflow.
Reject This can be used to "Reject" the Applicant. This will place a line through the Applicants Name.
Hide This will allow you to "Hide" unsuccessful / rejected Applicants.
Fields available These can be added and removed from Settings - Recruitment. Only the first 4 selected will show in Mobile view. Country, Address, Auto Score, Manual Score. Applicant Name, File and Action - Mandatory.
Auto Score Click on this to show the information which has been used to calculate the "Auto Score". E.g. Certificates and Licences, Education and Qualifications, Responses to the Questionnaire that was used.
Vacancy Selector Located on the Top Right of the Widget. Allows the user to move between Vacancies. The number next to the Vacancy Name show the Total Number of Applicants for that Vacancy.
Workflow Step Selector Top Right of the Widget. on the right of the Vacancy Selector. Allow you to move between steps. The number next to the Workflow Step name shows you the number of applicants at that step.
New Vacancy Top Right of the Widget. Starts the New Vacancy Wizard, for you to be able to create and publish a New Vacancy. This is also available from the "START" options

Request to Hire and Employee Authorisation

This widget allows for Hiring Managers and HR User to start Request to Hire and Employee Authorisation processes. Request to hire and Employee Authorisation can also be created from "New Vacancy" option on the top right of the widget. The "Request to Hire and Employee Authorisation" option is also available in "START" Wizards.

Incomplete Shows Policies for the User that are no yet Opened and Read
Completed Show Policies that are Opened and Read
Filter Allows for Filter to be formed based on: Opened, Unopened, Read, Unread
Select A Policy Allows User to Select the Policy they want to see details on
Policy Name The name of the Policy entered by the creator of the Policy
Opened Tick showing if the person has Opened the Policy. This will automatically tick if this is done
Read This will automatically tick once the Person has Agreed to the Policy after opening
Type This show where the Policy relates to E.g. Onboarding, Existing Employee New Policy Update, New Employee, Auto Renew
Created Date when the Policy was created for the Employee to Read and Agree too

Recruitment - Tasks and Notifications

The Tasks and Notifications Widget allow users who have access to "Team Dashboards" to receive, send and interact with "Quick Tasks" and automatically triggered workflows. These Task and Notification items are also delivered into the "Inbox". "Quick Tasks" can be sent from, the "Start" option, or from the "Tasks and Notifications" Widget itself.
This is a list of Standard "Tasks and Notifications" functionality.

  1. Search - Text Search e.g. Search on Task Name - Request or Authorisation.
  2. Quick Task- This allows the user to send a Task or Notification to: another user or themselves. The recipient list will indicate who their Manager is and HR users.
  3. Today - Shows the user Tasks and Notification for "Today". The numbers will indicate how many items are relevant.
  4. Upcoming - Shows the user what Tasks and Notifications are "Upcoming". The numbers will indicate how many items are relevant.
  5. Overdue - Shows the user what Tasks and Notifications are "Overdue". The numbers will indicate how many items are relevant.
  6. Completed - Shows the user what Tasks and Notifications are "Completed". The numbers will indicate how many items are relevant.
  7. My sent Tasks - Shows the user what Tasks and Notifications have been sent by them. The numbers will indicate how many items are relevant.
  8. Filter - Allows the user to "Filter" their items by Tag or Filter: E.g. HR, Recruitment, Delegated etc.
  9. Date Range - Search Tasks and Notifications by Date Range.
