People and Culture Dashboard Option

This User Tab Contains Widgets:

  1. 4 Small Information Display Widgets
  2. Company Policies (Access to All Business)
  3. Personal Details (Access to All Business)
  4. Time Off and Pay (Access to All Business)
  5. Timesheets (Access to All Business)
  6. Tasks and Notifications (Access to All Business)
  7. Time Off and Pay Management (Access to All Business)
  8. Performance (Access to All Business)
  9. Announcements (Access All and Management)

These widgets can be moved around in the Dashboard. They can also be removed from the Dashboard. This can be done in Maintenance --> Groups --> Permissions --> Select a Group and Go to Widgets.

People and Culture Widget - Tasks and Notifications

The Tasks and Notifications Widget for People and Culture allows the People and Culture user to have access to "Team Dashboards" to receive, send and interact with "Quick Tasks" and automatically triggered workflows based on all people. These Task and Notification items are also delivered into the "Inbox". "Quick Tasks" can be sent from, the "Start" option, or from the "Tasks and Notifications" Widget itself. If a Manager has Delegated their Tasks and Notifications to System Administration Users / People and Culture, People and Culture Users will see these Tasks and Notifications in this Widget.

Field Name Description
Today Shows the user what Tasks and Notifications for "Today". The numbers will indicate how many items are relevant.
Upcoming Shows the user what Tasks and Notifications are "Upcoming". The numbers will indicate how many items are relevant.
Overdue Shows the user what Tasks and Notifications are "Overdue". The numbers will indicate how many items are relevant.
Completed Shows the user what Tasks and Notifications are "Completed". The numbers will indicate how many items are relevant.
My Sent Tasks Shows the user what Tasks and Notifications have been sent by the user. The number will indicate how many items are relevant.
Filter Allows the user to "Filter" their items by Tag or Filter: E.g. HR, Recruitment, Delegated etc.
Date Range Search Tasks and Notifications by a specified Date Range.
Delegation Allows People and Culture users to search for an employee and delegate tasks and notifications to their Manager or other People and Culture SA Users
+ Quick Task This allows the user to send a Task or Notification to another user or to themselves. The recipient list will indicate who their Manager is and HR users.
Search Test Search e.g. Search on Task Name - Birthdate or Persons Name.
Task Name Name of Task. E.g. Birthdate Reminder
Assigned To User that the Task or Notification is assigned to. You can re-assign who the task is assigned to. This will send them the Task or Notification by clicking on the User Name / Icon
Due Date The Date the reminder or task is due.
Filter (column) Filter tags selected against the task will appear under here.
Actions Actions such as task approvals can be done through this selection.

People and Culture Widget - Company Policies

The People ad Culture Company Policies Widget allow HR - SA Users to access their Team's Company Policy Activity. The People and Culture user can search for Any Employee and then use Filters to see which Company Policies need to be attended too. People and Culture users can Resend an notification to an Employee if that person has unopened / unread policies. The Company Policy Widget respects the User Group Permissions on the person accessing the system.

Search Allows Manager to search Team to see the Company Policy Information for the Team Member being searched for
Incomplete Shows Policies for the User that are no yet Opened and Read
Completed Show Policies that are Opened and Read
Filter Allows for Filter to be formed based on: Opened, Unopened, Read, Unread
Policy Select the Policy that you want to use in Filter. E.g. Search for Employee, Select Filter and then Policy
Select A Policy Allows User to Select the Policy they want to see details on
Policy Name The name of the Policy entered by the creator of the Policy
Opened Tick showing if the person has Opened the Policy. This will automatically tick if this is done
Read This will automatically tick once the Person has Agreed to the Policy after opening
Type This show where the Policy relates to E.g. Onboarding, Existing Employee New Policy Update, New Employee, Auto Renew
Send Reminder Allows People and Culture to Resend Notification if the Person has not Open, Read - Confirmed the Policy. This option will not be available if the Company Policy has Expired
No Policies Shows People that have received "No Policies". Allows People and Culture to send Company Policies to people/employees that have not received any as this is a Risk to the business as they will not be aware of Company Policies.
Created Date when the Policy was created for the Employee to Read and Agree too

People and Culture - Announcements and Acknowledgements

This widget allows for People and Culture users to view Announcements and Acknowledgements that have been posted by them through the START Wizard - Announcements and Acknowledgements.

Field Name Description
Announcement Tab This tab displays all active and expired announcements posted by users.
Acknowledgement Tab Clicking this tab will display all acknowledgements posted by users.
Create Announcement (Under Announcement Tab) Top Right of the Widget. Starts the New Announcement Wizard, for you to be able to create a new announcement. This is also available from the "START" options
Active (Under Announcement Tab) Displays all announcements that have not exceeded their expiry date. Number in brackets displays the total number of active announcements
Expired (Under Announcement Tab) Displays all announcements that have exceeded their expiry date. Number in brackets displays the total number of expired announcements.
Search Title (Under Announcement Tab) This is a free text field that you can use to filter down the list to specific wording you enter here.
Title (Under Announcement Tab) This is the title of the created announcement.
Type (Under Announcement Tab) This is the type of the announcement. E.g. Business Object, Highlight, People Related, Innovation, Policy.
Create Date (Under Announcement Tab) This is the date and time the announcement was created.
Expire Date (Under Announcement Tab) The announcement's expiry date. Once this date has come, the announcement will move over to the Expired section.
Acknowledgement (Under Announcement Tab) Acknowledgements made to employees and/or locations and/or departments will display here.
Survey (Under Announcement Tab) If a survey has been linked, you can click "Check Answers" to view the status of answered surveys. If no survey linked, "N/A" will display.
Action (Under Announcement Tab) Use this dropdown to edit or delete an announcement. Clicking Edit will allow you to update details such as the Announcement Title, Announcement Type, To Date, Content, Acknowledgements linked to the announcement.
Create Acknowledgement (Under Acknowledgement Tab) Top Right of the Widget. Starts the New Acknowledgement Wizard, for you to be able to create a new acknowledgement. This is also available from the "START" options
Search Keyword (Under Acknowledgement Tab) This is a free text field which allows you to filter acknowledgement list down to specific keywords you enter here.
Create Date (Under Acknowledgement Tab) This is the date and time the acknowledgement was created.
Keyword (Under Acknowledgement Tab) Keywords entered upon creation of acknowledgement will display here as hashtags.
Likes (Under Acknowledgement Tab) Clicking the "thumbs up" icon will Like the acknowledgement. The number beside it displays the total number of likes the acknowledgement has received.
Comments (Under Acknowledgement Tab) Clicking the speech bubble icon will allow you to enter in comments related to the acknowledgement. The number beside it will display the total number of comments made against the acknowledgement.
Acknowledgement (Under Acknowledgement Tab) Employees, locations and/or departments that have been acknowledged will display here.
Action (Under Acknowledgement Tab) Use this dropdown to edit or delete acknowledgements. When you click Edit, you are able to edit the keywords of acknowledgement, the content and the acknowledged employees.

People and Culture Widget - Training

The People and Culture Training Widget allow HR users to access their Team's Training Activity. The Manager can access Training Course and Event Information and Current Training Records for their team members. The Training Widget respects the User Group Permissions on the person accessing the system.

Performance Management

The Performance Management Widget allows People and Culture users to track employee performance reviews deployed within the system.

Field Name Description
Reviews Tab Clicking this tab will display all employee reviews.
Select Review Process Clicking this will trigger a popup that will enable users to select whether reviews should be deployed based on a cycle or by employee start date.
Create Review If based on Cycle, popup will display enabling users to activate cycle review deployment.
If based on Start Date, popup will display enabling you to enter in performance workflow details including Name, Template, Workflow and Copy From Previous Review prior to activation.
Current Review Method This is shown to display the type of Review process being run e.g. Deployment Cycle or Based on Start Date.
Stop Review Process - RED Button Allows you to STOP the review proces being used. Stop for START Date or Cycle Method. Please note that this will complete all review as of that date. Information in the review can be seen up until that date.
Deploy - GREEN Button If you have activated a Cycle based Deployment method, using this Button, you can Define each Cycle's Profile and send to People, Departments etc.
Active Clicking this will display all currently active performance reviews. The number in brackets displays the total number of active reviews.
Completed Clicking this will display all completed performance reviews. The number in brackets displays the total number of completed reviews.
Overdue Clicking this will display all performance reviews that are incomplete and is past their due date. The number in brackets displays the total number of overdue performance reviews.
Not Started Clicking this will display all reviews that have not been started by the employee.
No Review - Only Relevant to Cycle - Deployments Clicking this will display all employees who currently have no deployed performance review. The number in brackets displays the total number of employees with no current reviews.
Deployments Clicking this will display all performance workflows that have been created. The number in brackets displays the total number of deployments.
Search This is a free text field that allows user to filter down the list to specific keywords entered here.
ID This is the ID of the deployed performance review.
Review Name The name of the review will display here.
Employee The name of the employee that this performance review is for will display here.
Status The current step of the review will appear highlighting the assignees to complete. A green tick will appear next to the assignees that have completed their task. The current step and step due date will also appear.
Due Date The due date of the performance review will appear here.
Progress The percentage bar here represents the progress of the review starting from 0% (not started) to 100% (complete)
Action Open Review - allow user to open and complete current performance step
Reopen Step - allow user to reopen completed task on a completed step. This will display a popup with responder names. Simply tick the relevant step for the relevant responder.
Force Start Next Step - allow user to force start the next step.
Delete - allows user to delete the employee performance review
Manage Peers - Allow users to manage peers if there is a "Define Step - Peers" and the review is not yet completed.
Create Deployment (No Review Tab) - Top right link will be activated if review method is based on 'Cycles'. Selecting employees and clicking this link will auto select selected employees for deployment. Action link will allow deployment performance review for a single user.
Cancel Deployment (Deployments Tab) - Cancel deployed employee performance review.
View Reporting (Deployment Tab) - View reporting for this particular deployment.
Goals Tab Clicking into this tab will display all Goals relating to the all employees within the system. Goals can be entered without using a Review Cycle. If your Performance Workflow Cycle includes a Goals Define step, you can create the Goals in the Review Process or directly from this Tab using "Create Goals". If you have a PDP step in your Performance Workflow Cycle, Goals which are created as part of the Review process, can be linked to the PDP. They will show up in this widget as having a relationship. If you are using a PDP step in the Review Cycle, and you enter a Goal through the Widget, you can link this Goal to the PDP and create Training Intervention.
+ Create Goal Clicking this will allow users to create goals for employees. Goals will be created through the New Performance Goal wizard.
Active Clicking this will display all Goals that are set to an active status. The number in brackets displays the total number of Active Goals/PDP.
Completed Clicking this will display all Goals that have been completed. The number in brackets displays the total number of Completed Goals/PDP.
Overdue Clicking this will display all Goals that have not been completed and have passed their Due Date. The number in brackets displays the total number of Overdue Goals/PDP.
Not Started Clicking this will display all Goals that have a Not Started status. The number in brackets displays the total number of Goals/PDP that have yet to be started.
Cancelled Clicking this will display all Goals that have been cancelled. The number in brackets displays the total number of cancelled Goals.
Search Topic This is a free text field that allows the user to filter down the list of Goals to specific keywords entered here.
Employee The relevant employee's name will appear under here.
Goal Name Name of the Goal
PDP The related Performance Development Plan will display here.
Review If a Review Cycle us being used, when the Goal is created, it will show the relationship to the review it was created for.
Training This is show if you click on PDP - YES. Click on the Yes Link to view the PDP and the training that has been linked. Note - A Course Waiting List can be selected if you choose Training Intervention for a Goal.
Status The status of the goal will display here. This can be Incomplete, Complete or Cancelled.
Due Date The goal's due date will appear here.
Action This dropdown will allow user to edit their team's and their own goals.

Timesheets Management

This widget display information regarding all timesheets made within the system.

Field Name Description
In Progress Tab Displays all saved but not submitted timesheets. Number in brackets outline the total number of "In Progress" timesheets.
Requested Tab Displays all timesheets that have been submitted but are have yet to be authorised/rejected. Number in brackets outline the total number of pending timesheets.
Authorised Tab Displays all timesheets that have been authorised by the authoriser. Number in brackets outline the total number of Authorised timesheets.
Rejected Tab Displays all timesheets that have been rejected by the authoriser. Number in brackets outline the total number of Rejected timesheets.
Cancelled Tab Displays all timesheets that have been cancelled. Number in brackets outline the total number of cancelled timesheets.
+ Create Timesheet Clicking this button will allow users to quickly create a timesheet through the New Timesheet Wizard.
Search by name This is a free text field which allows you to specifically search for timesheets by employee name.
Name Employee name will appear under here.
Period Duration of timesheet will display here in DD/MM/YYY - DD/MM/YYYY format.
Submitted Date The date the timesheet was submitted will appear under here.
Total Hours Total number of hours recorded within the timesheet will appear under here.
Time Off Total number of hours employee was away will appear here.
Authoriser The name of the timesheet's authoriser will appear here.
Action This dropdown allows user to perform either of the following:
Cancel - Cancel the timesheet
View - View the timesheet
Authorise - Authorise the timesheet
Reject - Reject the timesheet
Export to CSV - Export the timesheet into a CSV file
