Employee Training Records

Creating Employee Training Records

  1. After logging into the Subscribe-HR portal, select the Human Resources TAB.
  2. Select the Employee Folder.
  3. Select the desired employee.
  4. Select the Training Records SubFolder from the left side menu.
  5. Select the [Add new record] button.
  6. Fill in the fields.
  7. Select the [Save] button.

Mandatory fields are marked with Red Asterisk, the record will not be saved unless mandatory fields are filled in first.

Training Records fields explained

Field Name Description
Start Date The date the training started for the employee.
Finish Date The date the training finished for the employee.
Course name The name of the course taken by the employee.
Create External Record Create external record allows you to link to a Certificate /Licence or Qualification in the system. If this is internal then leave this blank.
Type The type of training.
Example: External, Internal, Mentor, On-Line, Seminar.
Training Request Date The Date in which an Employee Requested the Training. This is a Self Service Training Request Function that can be linked to Workflow and Authorisation
Status The status of the training.
Example: Booked, Completed, Rescheduled.
Reason The reason for the training.
Example: Business Objective, CPD, First Aid, etc.
Training Expiry The date the training expires.
Cost The cost of the training.
CPD Course Hours This is only visible if Reason of CPD selected.
The annual amount required re CPD the Employee Job.
This will then be added to actual CPD Total, which will then appear in Training Records when CPD Training Reason is CPD.
Pre Course Brief The date a pre-course brief should be performed.
Post Course Brief The date a post-course brief should be performed.
Cost Type Only visible during a Modify.
Select Course Type (Example: Fully Funded by Company, Part Funded, Self Funded).
Notes Any notes on the training course.
Attachments Only visible during a Modify.
