The Onboarding/Offboarding solution provides a step-by-step process for Onboarding new Employees, or Offboarding leaving Employees. This is done using the Onboarding, Offboarding Deployment Wizard.


Onboarding Deployment Wizard (TAB)

The Deployments tab shows all workflows that have been created.

Deployments can be created for one or multiple Employees.

  • One Employee: Additional step available to review Merge fields for Contract and Letter of Offer.
  • Multiple Employee: Fields will be merged automatically without review step.

Deployments List All Fields

Field Name Description
ID The ID of the Workflow.
Created Date The Date when the workflow record was created.
Deployed date The Date the workflow was deployed, and launched to the recipient Employee.
Name The Name assigned to the Onboarding/Offboarding Workflow record.
Workflow The Workflow process that will be followed for this record.
Employees The number of recipient Employees that will be included in this deployment.

Actions

The Action Menu on the right side of the Workflow record allows you to make the Cancel Action, to cancel the workflow process.

Deploy New Onboarding/Offboarding

New Workflows can be deployed using the Deploy New button. This will create a pop-up window.

To Deploy a new Onboarding/Offboarding workflow:

  1. After pressing the Deploy New Button, assign a name to this deployment.
  2. Select the Workflow process you would like to use for this deployment.
  3. Select the Employees you would like to be recipients of this deployment, and press Next.
  4. If you have a Letter of Offer in this workflow, a page will appear to allow you to check the merge fields on the Letter. Press Next when satisfied.
  5. You will now be able to preview the contract. You can edit the contract by clicking inside, and using the Text Editor. Press Next when satisfied.
  6. If you have a Contract step in this workflow, a page will appear to allow you to check the merge fields on the contract. Press Next when satisfied.
  7. You will now be able to preview the contract. You can edit the contract by clicking inside, and using the Text Editor. Press Next when satisfied.
  8. The lightbox will now show a timing page.Choose when to deploy the Workflow. If Now is selected, the workflow will begin it's process once you have pressed Deploy. If Later is selected, a Deploy Date field will appear for you to schedule the deployment.
  9. Select whether you want the Letter of Offer to be authorised before proceeding with the Workflow. If rejected by the Authorisor, the sender will be able to Amend and Resend. See "Actions" section in Onboarding.
  10. Select whether you want the Contract to be authorised before proceeding with the Workflow. If rejected by the Authorisor, the sender will be able to Amend and Resend. See "Actions" section in Onboarding.
  11. Press Deploy when satisfied.
